Microsoft OneDrive is a secure space where you can store your files. Below we outline how to make the most of your OneDrive storage, share files with others and what happens to your account when you leave university.

Accessing your OneDrive

There are two common ways that should work:

  • Go via Microsoft Office 365 using your [email protected] and network password as usual
  • If you have the OneDrive app available, either on your computer or when using University equipment, you can open the file manager on your computer and you should find “OneDrive – University of Westminster” on your list

OneDrive or Google?

As you may have seen, the University has recently exceeded the storage limit provided by Google. Given that we have much more storage space on OneDrive, we recommend that you use that to store all files.

We’re currently asking all students and colleagues to transfer files from Google to OneDrive before the end of March.

How much space is there on OneDrive?

Each student at Westminster has one terabyte (1TB) of storage in OneDrive. This is much greater than the amount provided by Google, so please take advantage of the increased allowance and use OneDrive as your default wherever possible.

What happens to your OneDrive if you leave the university?

For students, access to your OneDrive account expires 18 months after you leave the university. 
Make a note to transfer anything important to another personal space so it doesn't get lost.

The loss of access to files only stored in your OneDrive can be especially problematic if you’re holding research-related information or shared project files. Be sure to check for content that needs to be sent to others in advance of your leaving.

Best practice

1.    Use your OneDrive (not Google) as your default for temporary or personal storage. 
2.   Make it a habit to do regular clearouts of your OneDrive (and Google) to ensure you don’t lose any files that you want to keep. This is especially important after your exams.
3.   If leaving the university, ensure you’ve transferred to others any content that they will need in future, e.g. society records, project or research information, etc.
